How To Build A Simple Project Manager Performance Report in PowerBI (ServiceNow ITBM)


In this article, we will build a report for the Project Manager Performance metric in the ServiceNow ITBM product. We’ll be going through the creation of some new card visualizations to illustrate the product.

Or you can follow these steps:

Step 1: To begin, select the ‘AMITSM – ServiceNow – PPM’ multidimensional database

Step 2: Select the ‘PPM – Project’ cube

Step 3: Select the ‘OK’ button

Step 4: Select the ‘Show/hide pane’ arrow to close the ‘Filters’ pane

Step 5: To start building the report, select the ‘Slicer’ from under ‘Visualizations’

Step 6: Select the search bar and type in ‘date.value’

Step 7: Click and hold on the ‘Date.Value’ field from under ‘Project Opened Date’

Step 8: Drag it over to the ‘Field’ section

Step 9: Click and drag the edges of the visualization to resize it and drag on it to move it around the report. We’ll be moving around visualizations in between steps from now on

Step 10: Now select another ‘Slicer’ from under ‘Visualizations’

Step 11: Select the search bar, delete the last query, and type in ‘project manager’

Step 12: Select the ‘Project Manager’ field from under ‘Project’

Step 13: For the next few visualizations, we need a special for of the Card visualization. Select the ellipsis icon labeled ‘Import a custom visual’

Step 14: Select the ‘Import from marketplace’ option

Step 15: Select the search bar and type in ‘Card with States by OKViz’

Step 16: Select the ‘Add’ button

Step 17: Select the ‘OK’ button

Step 18: Select the new ‘Card with States by OKViz’ from under ‘Visualizations’

Step 19: Select the search bar, delete the last query, and type in ‘percentage of projects with cost plan baseline’

Step 20: Click and hold on the ‘Percentage of Projects with Cost Plan Baseline’

Step 21: Drag it over to the ‘Measure’ section

Step 22: Click and hold on the ‘Percentage of Projects with Cost Plan Baseline’ again

Step 23: Drag it over to the ‘States Measure’ section

Step 24: Select the ‘Percentage of Projects with Cost Plan Baseline Target’ field from under ‘Performance Targets’

Step 25: Drag it over to the ‘Target’ section

Step 26: Select the paint roller icon to go to the ‘Filters’ section

Step 27: Select the ‘States’ section

Step 28: Select the dropdown table under ‘Affect’

Step 29: Select the ‘Background’ option

Step 30: Select the dropdown chart under ‘Comparison’

Step 31: Select the ‘<=’ option

Step 32: Select the color under ‘State A’

Step 33: Select the ‘Custom color’ button

Step 34: Select the text field and type in ‘C0392B’ for a red color

Step 35: Select the text field under ‘State A value’ and type in ‘0.8’

Step 36: Select the color for ‘State B’ and follow the same process to select a color, using the hex code ‘F2C80F’

Step 37: Select the text field under ‘State B value’ and type in ‘0.9’

Step 38: Select the color for ‘State C’ and follow the same process to select a color, using the hex code ‘27AE60’

Step 39: Select the text field under ‘State C value’ and type in ‘1’

Step 40: Select the ‘Fields’ section

Step 41: Select the search bar, delete the last query, and type in ‘percentage of projects exceeding cost estimate’

Step 42: Now select another ‘Card with States by OKTiz’

Step 43: Click and hold on the ‘Percentage of Projects Exceeding Cost Estimate’ field from under ‘Performance Metrics’

Step 44: Drag it over to the ‘Measure’ section

Step 45: Select the paint roller icon to go to the ‘Format’ section

Step 46: Select the ‘States’ section

Step 47: Select the dropdown chart under ‘Affect’

Step 48: Select the ‘Background’ section

Step 49: Select the dropdown chart under ‘Comparison’

Step 50: Select the ‘>=’ option (Notice this is the opposite of the last comparison)

Step 51: Select the color for ‘State A’ and follow the process to select a color, using the hex code ‘C0392B’

Step 52: Select the text field under ‘State A value’ and type in ‘0.5’

Step 53: Select the color for ‘State B’ and follow the process to select a color, using the hex code ‘F2C80F’

Step 54: Select the text field under ‘State B value’ and type in ‘0.25’

Step 55: Select the color for ‘State C’ and follow the process to select a color, using the hex code ‘27AE60’

Step 56: Select the text field for ‘State C value’ and type in ‘0’

Step 57: Now select another ‘Card with States by OKViz’ from under ‘Visualizations’

Step 58: Select the search bar, delete the text field, and type in ‘percentage of projects with associated risks’

Step 59: Click and hold the ‘Percentage of Projects with Associated Risks’ field

Step 60: Drag it over to the ‘Measure’ section

Step 61: Select paint-roller icon to go to the ‘Format’ section

Step 62: Select the ‘States’ section

Step 63: Select the dropdown chart under ‘Affect’

Step 64: Select the ‘Background’ option

Step 65: Select the dropdown chart under ‘Comparison’

Step 66: Select the ‘>=’ option

Step 67: Select the color for ‘State A’ and follow the process to select a color, using the hex code ‘C0392B’

Step 68: Select the text field under ‘State A value’ and type in ‘0.5’

Step 69: Select the color for ‘State B’ and follow the process to select a color, using the hex code ‘F2C80F’

Step 70: Select the text field under ‘State B value’ and type in ‘0.25’

Step 71: Select the color for ‘State C’ and follow the process to select a color, using the hex code ‘27AE60’

Step 72: Select the text field under ‘State C value’ and type in ‘0’

Step 72: Select the text field under ‘State C value’ and type in ‘0’

Step 74: Select the search field, delete the last query, and type in ‘percentage of projects with cost estimate’

Step 75: Click and hold on the ‘Percentage of Projects with Cost Estimate’

Step 76: Drag it over to the ‘Measure’ section

Step 77: Select the paint-roller icon to go to the ‘Format’ section

Step 78: Select the ‘States’ section

Step 79: Select the dropdown chart under ‘Affect’

Step 80: Select the ‘Background’ option

Step 81: Select the dropdown chart under ‘Comparison’

Step 82: Select the ‘<=’ option

Step 83: Select the color for ‘State A’ and follow the process to select a color, using the hex code ‘C0392B’

Step 84: Select the text field under ‘State A value’ and type in ‘0.8’

Step 85: Select the color for ‘State B’ and follow the process to select a color, using the hex code ‘F2C80F’

Step 86: Select the text field under ‘State B value’ and type in ‘0.9’

Step 87: Select the color for ‘State C’ and follow the process to select a color, using the hex code ‘27AE60’

Step 88: Select the text field under ‘State C value’ and type in ‘1’

Step 89: Now select a ‘Table’ from under ‘Visualizations’

Step 90: Select the search bar, delete the last query, and type in ‘primary portfolio’

Step 91: Select the ‘Primary Portfolio’ field

Step 92: Select the search bar, delete the last query, and type in ‘project short name’

Step 93: Select the ‘Project Short Name’ field

Step 94: Select the search bar, delete the last query, and type in ‘date.value’

Step 95: Select the ‘Date.Value’ field from under ‘Time – Project Start Estimated’

Step 96: Also select the ‘Date.Value’ field from under ‘Time – Project End Estimated’

Step 97: Select the search bar, delete the last query, and type in ‘project cost baseline’

Step 98: Select the ‘Project Cost Baseline’ field

Step 99: Select the search bar, delete the last query, and type in ‘project cost estimated’

Step 100: Select the ‘Project Cost Estimated’ field

Step 101: Select the search bar, delete the last query, and type in ‘project cost actual’

Step 102: Select the ‘Project Cost Actual’ field

Step 103: Select the search bar, delete the last query, and type in ‘hours allocated total’

Step 104: Select the ‘Hours Allocated Total’ field from under ‘Resource’

Step 105: Select the search bar, delete the last query, and type in ‘risks total’

Step 106: Select the ‘Risks Total’ field

Step 107: Select the search bar, delete the last query, and type in ‘issues total’

Step 108: Select the ‘Issues Total’ field

Step 109: Now we’ve finished the report, and we can see the entire report laid out. The slicers can optionally be used to dynamically focus on different sections of data
